Rental waivers and ID checks: what to collect before handover
A practical checklist for bike, e-bike and gear hire: which details, signatures and photos to collect, and how to do it without a clipboard.
Every rental business has the same moment: a customer is standing at the counter, keen to ride, and you still need their ID, a signature and a quick check of the asset. Get it right and it takes a minute. Get it wrong and you find out after something goes missing. This is a practical checklist, not legal advice; have your own agreement wording checked by someone qualified.
Collect it before the day, not at the counter
The fastest handover is one where the paperwork is already done. Ask customers to upload ID and sign the agreement when they book online, or send them a link beforehand. At the counter you only check that the photo matches the person.
The details worth keeping
Each rider’s full name and phone number
A photo of a driver licence or other ID
A signature on your agreement, with the version they signed
The asset they took, its condition and any existing damage
Odometer or charge level for e-bikes and scooters
Make the handover checklist part of the booking
A short checklist at handover protects both sides: condition checked, brakes and controls, tyres, charge, lock and key, accessories. Take a photo of anything already scratched. When the asset comes back, the same checklist runs in reverse, and any damage is a charge on the booking rather than an argument.
Don’t block the handover, warn about it
Sometimes a regular forgot to sign, or a group turns up with one rider short on ID. Software that refuses to hand over causes queues; software that warns you, names who is missing and lets you decide keeps the counter moving while still keeping you honest.
